Call to Order

The Meeting was called to order with a presentation from Liz Straw from the Indiana State Dairy Association on the different DHIA programs and how to properly take samples as to certify testers for the program and ADGA.  She also certified scales

Treasurer’s Report

Rob gave the report and It was approved

Committee Reports

Hoosier Classic Jenifer and Bruce gave a update on the show plans.  There was some discussion about awards if they want just Best in Show or do we want to have awards for the breed champions.  It was determined to try to get sponsorships and have awards for each breed.  There was a motion to pay the sanctioning fees for the Beyond the Ring Junior Livestock Association.  There were several dairy goat youths that place in the state, region and national level.  The

Showman App will be used.  Not only will help with entries but can be used for RSVP for the dinner, pay for trailer hook ups, bedding, and penning.

State Fair—Teena has verbal commitment on Open Show Judge.  Dairy Goats did not get put into the Supreme Showmanship for 2023.  She will try again for 2024. 

YouthThe youth committee will be Casey Stearn, Shane Warthan and Debbie Haeberlin.  The was a motion to sponsor a table at the March 4 Fulton County 4-H workshop and have someone man the table.

Fall Conference—Brenda Lightner will be co-chairing this

New Business:

Membership—Discussion was held of what is the benefit of being a member beside the fellowship at the membership meetings and the website.  Online forms has helped with membership,  Rob suggested the officers meet to talk about this,

Bruce Foster, ADGA District 4 director, reported that in the 4th quarter contains 2 important constitutional amendments online voting and the Executive Director job description.  Also the national show judges.  Karen Smith is reaching out to state and regional clubs to help sponsor the national show. 

The meeting was adjourned.

The youth were guided through udder discection and a craft of goat puppet.

Opening

Elizabeth Straw from the Indiana State Dairy Association (ISDA) gave a presentation on DHIR program and the certification involved and certified scales for milk testing. 

Call to Order

The Meeting was called to order at 2:45

We went around the room and introduced ourselves with our names, our herd names and breeds that we raised.

Minutes of November meeting were reviewed and approved.

Treasurer’s Report

Rob reported we have $20,745.87.  Rob is working Carolyn on getting an online membership form. Jeff and Rob will get together and do an audit of the books.  The report was approved

Committee Reports

Hoosier Classic Bruce and Jenifer reported.  Jenifer has a food vendor locked for Friday Night thru Sunday Afternoon.

Becky Brummage working on the Awards. We have been awarded Sable Specialty.  The Showmanship App will be used.

Not only will this allow us to have online entries, it would let us RSVP for the meal so we had enough food available, trailer hooks up can be paid for ahead of time, penning arrangements can be made, bedding, straw, hay for sale. Working on the breed breakdown.  The hospitality

State Fair—Teena has verbal commitment on Open Show and 4-H Judges.  Dairy Goats did not get added for the 2023 Supreme Showmanship.

YouthNikki reported that they are working on their own webpage.  They are adding points to the series for attending workshops and meetings. 

There was a discussion held about Youth Representative position.   It was decided that the prize would be increased to $300 for the Representative and $150 for the runner up. There would be a committee appointed by the President that would be updated the presentations requirements to today’s technological abilities, the create a list of requirements that are expected of them after award the positions and would determine the Youth Representative and Runner Up.  The idea of a separate scholarship was tabled.

New Business:

By-Laws—There was discussion about when and where to vote for the slate of officers.  A motion was made and passed to have the slate of officers presented at the May meeting and have online options and in voting at a short business meeting at the fall conference.  There was also discussion held, a motion was made and passed to continue to have a business meeting at NAILE on Saturday. 

Membership—Discussion was held of what is the benefit of being a member beside the fellowship at the membership meetings and the website.  There were some ideas for a discount at the Hoosier Classic, bring back the show bill/packet, a newsletter whether printed or online and a members only area on the website.

The youth did ana activity of discecting an udder and making some puppets craft by Erin Dearing and Nikki Laffoon.

Rob reported we have $20,664.45.  It was approved

Committee Reports

Hoosier Classic Mike reported for Jenifer that 2023 will be 3 rings and we have verbal commitments from all 3 judges and soon as signed contracts are in hand the names will be released.  IDGA will apply for the Nubian, Alpine, and Sable Specialty.

State Fair—Teena has verbal commitment on Open Show Judge.  She is working on getting the Dairy Goats into the Supreme Showmanship and waiting to get word on this before getting 4-H judge.

Minutes of May meeting were review, amended (when the Hoosier Classic Judges would be vote on and removed the YQCA would be required for the 2022 National show for youth) and approved.

Treasurer’s Report

Rob reported we have $20,577.43.  He presented the detailed report for the Hoosier Classic report.  The report was review and approved.  Detailed report attached to the end of the Minutes.

Hoosier Classic  No Report

State Fair—Numbers from State Fair.  Open Show Seniors—359 Juniors—414 Total—773 4-H Seniors—172 Juniors—208 Wethers—49 Total 429

Teena has given the Livestock Officials a heads up about potential overflow because of Nationals in Oregon the 2023.The FFA group that helped exhibitors load out will be back next year to do the same thing.  The Schedule and Staging will continue on 38th and 46th Street.  Drug Testing will be fixed for next year.  The staff was sufficient.  The milk dump being moved was muchly appreciated and was much safer.  The cleaning crew did a great job keeping the area clean around it. 

YouthNikki reported that the series is changing the based date for age not May 1st. Age groups will be Juniors 8-12, Intermediate 13-15, Senior 16-21.  Packets for the shows will continue.     The 2022 winners Juniors—Reagan Arney, Intermediate-Lexie Lanam, Senior—Stella Dearing.    The skill-a-thon for the state fair will return in 2023. 

By-Laws—Rob would like the membership to review the Bylaws on the website and Comments on what they think needs to be updated from how they exist today.  One thing that was brought up that when and where the voting on officers. 

New Business:

2023 Hoosier Classic Chairman will be Jenifer Crooks and her co-chairman.  A huge thank you to David Ingle and Family for all their years of dedication to the show. 

Ballots for the Hoosier Classic Judges and the Number of Rings was passed to the paid membership attending the meeting.

Hoosier Classic It has been brought to Evy attention that there is that availability of the Recorded Grade Specialty. A motion was made and approved to procure this if it available.

Evy passed a Sign-up sheet for the hospitality table, ring steward relief, specialty photo help, check in help for Friday Night, Saturday Morning, and Sunday Morning.

YouthNikki reported that the series is moving along.  Most of the shows have paid.  They will start to work on the skillathon for the state fair.  If you know of anybody that would be willing to sponsor a table.

New Business:

Hoosier Classic 2023 Judges Voting and the number of ring will take place at the NAILE meeting in November.  (Amended at the November Meeting)

Unfinished Business:

Fall Conference—October 15th 9am start time.  Only confirmed speaker is a packed goat.  They are working on get speaker.  The youth presentation right before Lunch and the morning portion be the youth and the combined youth and adult in the afternoon.   This will be a free advent this year. 

Website—Mike Summerlot has contacted three different people.  He is still gathering information for all of them and will continue to work on this.

ADGA Director Bruce Foster There was Directors meeting this week.  Laura Warren Hughes took detailed notes during the meeting.  Be Kind to the ADGA staff they are not ones that signed up for all the problems.                                                                                                                            

Dianna Hubbard wanted the youth that YQCA needed to show at the nationals.

New Business:

Hoosier Classic 2023 Judges Voting and Director Nominations for ADGA.

           

Unfinished Business:

Fall Conference—We have a proposal from a group at the Indiana Wesleyan. They have an open Saturday October 15th which is different than our normal Sunday.  We would have the students involved ag and area enthusiasts would be able to help.  A motion was made and passed to pursue this opportunity. 

Website—Everything that has been given to Brenda are up to date on the website.  Contact information can be added.  If a show has a URL or Facebook page

Minutes from the 3/8/2022 Board of Directors were read and approved.  Deb Macke was contacted and was not available to take on this project.

Mike Summerlot would like to see three proposals and would like to see Carolyn be one of the proposal.   He has contacted the Information System Department of Indiana State University.

Nikki and Erin are talking about creating a youth page that they would keep that updated without causing excessive cost of updates.  Brenda bundles things so that we do not get excessive hourly charges.

ADGA Director Bruce Foster reported that stamped Duplicate from February 2021 will be valid through September 2022

LA Postal Ballot The goats be LA’d will no longer be measured.  The will be coded for under or over height.

The youth portion of the national convention will be the first weekend.

A question of when will see show wins and milk records be loaded into NG.  The town hall meetings are recorded so you can go back and review.   Is subscriptions going to be part of NG.  There is an inhouse programmer working on things.

Minutes of then February membership meeting were review and approved.

Treasurer’s Report:

Rob reported that we have 13,094.69 with no outstanding bills.

Committee Reports

Hoosier Classic David reported that we have been award the LaMancha Specialty.  Teena is in contact with the Saanen Association about that Specialty.  Becky reported that the backpacks are in.  Nikki reported that Diana got us some bags for Welcome Bags.  List of raffle kids was gone over of the verbal commitments.    Jenifer reported the vendor will be there with light menu on Friday with full menu on Saturday and Sunday. Jenifer is also working on them serving the meal on Saturday.  Jenifer will request that the shirt orders form on the website.  The website needs to be updated to say three rings.  Online entries are still in the works. 

YouthShowmanship series will be posted to the Website as soon as the timeframe is closed for show to submit their application.

By Law and Constitution—Rob is chairing a review of the bylaws and constitution.  Bruce, Erin, and Diana are willing to help with this. 

Unfinished Business

New Business: In April we will be doing our Youth Representative presentation.   They must be 14-21 years old.  They will give a 3-5 minute speech and scrapbook/portfolio with 2 letters of recommendation.  This information will be posted on social media like our page and early show page.  Rob Smith suggested that maybe we invite the past youth rep to the 50th Hoosier Classic and get a Picture

Fall Conference—Brenda will coordinate but will need help.

Website—Timeliness of get information of getting it posted to the website.  Brenda will follow up on this.  Meeting notice with more advanced notice.

Nikki suggested that we have a meeting May 1st and Rob that it was a good idea.

Becky wished everybody a happy kidding season. 

Mike suggested on the Hospitality table that we ask people to bring things to help supply the table.

Called to order at 8:08 pm

Additional IDGA members (not directors) were present on the call with David Ingle.

                                                                     

 

The board of directors meeting was called to discuss the IDGA website.  An IDGA member who is a professional web designer by trade began creating, designing, hosting and updating the IDGA website in November 2020 at no charge to the organization. Feedback from the March 2022 IDGA membership meeting recognized how valuable the site was in 2021 with events and communication. Since Fall of 2021, this member and her family have ceased participation in IDGA, and she no longer donates her professional programming time and server hosting. Donated value of the development, design and hosting to date is $3200.  Immediate needs to update the website include Youth Showmanship Series Info, Hoosier Classic # of Rings, Hoosier Classic t-shirts, Membership directory, and April, May and June IDGA events. The former member has offered to discount her hourly rate to complete these items estimated at 5 hours for $125. Additionally, web hosting on her server is $12.95 monthly. Rob suggested hiring a website specialist that is unrelated to the organization. One individual recommended is Deb Mackey.  Mike made the motion that we pay the current developer through the Hoosier Classic (June,) and that Rob reach out to Deb Mackey to discuss a transition. Nikki seconded the motion. Motion passed.

Hoosier Classic t-shirts—David to email Brenda order forms and all necessary details for the web orders.

Nikki to send Brenda show dates for the Youth Showmanship series to add to the website.

Meeting Minutes:

Minutes of the Jan membership meeting were review and approved.

Treasurer’s Report:

Brenda had a report from Rob. We have a balance of $13,379.60.  The 1090 has been sent into the state and our insurance has been paid for the year

Committee Reports

State Fair – The State Fair Dates will July 28-31, 2022.  Teena reported that the 4-H judge for 2022 will be Travis Cockburn.  Adding the senior showmanship to the supreme showmanship will not happen for 2022 and our director and Teena will continue to work on this for 2023.  They have not hired a livestock manger but there will be livestock coordinator.

Hoosier Classic – David has posted the date on a couple of different platforms and the ADGA website.  David is working on online and paper entries.  Teena has not heard any back from the specialties.  Jenifer asked if we wanted the food vendor to be open on Friday night and still working on them on coordinating the meal. Mike Summerlot has secured the turkey tenders for the meal.  The BTR sanctioning will not include the buck show but will have 3 Jr doe, 3 Sr doe, and 3 wether shows.   Explanation of the BTRYA Sanctioning and what the youth receive.  Becky reported that the showmanship will be emborder backpacks. Nikki is working on some things for 50th Anniversary. This has been sent to the committee for organization.  David reported that start times will be 8 am on both days.   Nikki will follow up with the committee on the making welcome bags.  

YouthIn 2022 there will no adjusting the age groups and the base date for figuring the age of the participants because of the early sanctioning due to the ADGA price increase but there will be adjustments in 2023.  Already established shows need to be completed by March 31 and paid for to get on the list and website.  Shows that are part of the series will receive a pdf and a hard copy of the series requirements.  The packet will include signage that will help with some of the confusion of the age breaks and which rings the youth are to be in.   Also included will be the instructions for the show secretaries for reporting the results. 

There will not be Olympics for the State Fair this year. They will be working a skill a thon.  There will be prizes for the participants.   The question that was asked who was allowed to complete. Teena stated that the those that participated in it will have to be state fair exhibitors for liability reasons.

Brenda reported that the time to select our Youth Representative is approaching.   This is done at our April meeting and announced at the Hoosier Classic.   The youth must be 14-21 in age and an Indiana Resident to be eligible.  A Scrapbook/Portfolio with 2 letters of recommendation and a 3–5-minute presentation at our April meeting.  Bailey Blacker will be talking to the youth about her experiences as our 2020/2021 Youth Representative in March. 

By Law and Constitution—Rob is chairing a review of the bylaws and constitution.  Bruce, Erin, and Diana are willing to help with this. 

Unfinished Business:

New Business: Becky asked about getting the show bills added to the website.  Discussion was held about making sure the information is available on the website.  Nikki will gather information on show and get them to approximate people to get them on the website. 

Board of Directors Comment

Brenda sent condolence to the Hubbard Family in the loss of Steve’s father and that is only 3 months to the first weekend of Indiana shows—Cass County and Johnson County.

Call to Order

Liz Straw from the Indiana Dairy Association gave a presentation on getting started with DHIR.  There were 24 people in the Zoom meeting. Powerpoint and materials are posted on IDGA.net under Resource tab.

Minutes of the December membership meeting were review and approved.

Treasurer’s Report:

Rob reported a balance of $14,874.53 with the check for the Hoosier Classic Sanctioning fees still outstanding.

Committee Reports

State Fair – Teena reported that she has verbal confirmation from the Open and 4-H judges with contracts being sent out soon.  She has also been in contact with Kelsey Robinson the new person in charge of the entry department and did not see any changes there.  She also reported that she is in the process of trying to get the Senior Showmanship winner added to the Supreme Showmanship. 

Hoosier Classic – Bruce reported that the Sanctioning paperwork was sent in prior to the January 1st fee increase.  A third ring will be added in 2022 and the Judge is Dustin Noble.  The show secretaries and ring stewards for all three rings have been arranged.  Bruce asked for help in arranging a food vendor, the exhibitor meal, hospitality table, auction/raffle kids, a photographer for Specialties, and hotel arrangements.  Jennifer is taking care of the food vendor and seeing what the cost would be for them to organize the exhibitor meal.  Jason and Crystal are working on raffle/auction kids and items for the auction. Crystal did ask that if anybody is willing to help gather auction items it would be helpful.  Brenda will take care of the hotel arrangements.  There was some discussion if there was still a need for the hospitality table.  It was tabled and sent back to the committee.   Online entries was discussed.  Jerry stated that he had talked to David and he is working on a platform.  There was some discussion about the need to also still have paper entries for those that still would like to do it that way.   In the discussion mailed in entries must be accompanied with a payment to count toward the known numbers to make a breed official.    Also no refunds on entries was discussed.   Also we have previously had shaving, straw and hay available for sale – Jennifer is willing to take on organizing this.  In 2022 the Hoosier Classic wether and doe show will be part of the Beyond the Ring Junior Livestock Association series.

YouthNikki reported that she and Erin were working on the showmanship series packets.  They are adjusting the age groups (Junior 10-12) and the base date for figuring the age of the participants (May 1, 2022.)  They are still working on the Olympics for the State Fair. (No changes in ages or base date will happen for 2022 due to early show sanctions.)

New Business: A review of the bylaws and constitution.  Brenda asked Rob Smith the head this up and he accepted.  Anyone interested in assisting let Brenda know and she will get you in contact with Rob.

Jerry—there is going to be a ADGA Sanctioned Youth Show in Champaign IL the first weekend in May.
